Why Time Off Matters

Burnout is real, and Joyner takes it seriously. Studies consistently show that associates who take regular time off are more productive, more engaged, and more creative when they return. We don't just allow time off here — we actively encourage it. Whether it's a vacation, a sick day, or just a mental health reset, your wellbeing comes first. No guilt. No judgment. Just support.

Time Off Categories & Policies

Paid Time Off (PTO)
PTO accrues based on tenure and role. Unused balances roll over at year-end up to the plan maximum. Holiday pay is included for all company-observed holidays. Submit PTO requests through WFM as early as possible.
Sick & Personal Leave
Paid sick days are available for illness, medical appointments, and personal emergencies. Extended absences may require documentation. Use sick leave without hesitation — your health comes first.
Volunteer Time Off (VTO)
Give back to your community on Joyner's time. Eligible associates can use designated VTO hours to volunteer with approved organizations. Because doing good is good for everyone.
Short-Term Disability (STD)
If a medical condition prevents you from working for an extended period, STD benefits replace a portion of your income for up to 90 days. Coverage begins after the elimination period defined in your plan.
Long-Term Disability (LTD)
For illnesses or injuries lasting beyond the STD period, LTD kicks in to provide continued income protection. Joyner's employer-provided LTD ensures you're never left without a safety net.
FMLA & Specialized Leave
Family and Medical Leave Act (FMLA) provides up to 12 weeks of unpaid, job-protected leave for qualifying family and medical events. Also includes bereavement leave, jury duty pay, and military leave for eligible associates.

Accrual rates are subject to your employment classification and role. Part-time associates accrue PTO on a pro-rated basis. Unused PTO rolls over at year-end up to the plan maximum. Accrual begins on your first day of employment.

When a company holiday falls on a Saturday, it is observed on the preceding Friday. When it falls on a Sunday, it is observed on the following Monday. Operational associates should confirm specific holiday pay and scheduling with their manager.

How to Request Time Off

All time-off requests — PTO, VTO, sick leave, and personal days — are submitted through the Workforce Management (WFM) system. Here is how the process works.

Log Into Workforce Management
Access WFM through Joyner One using your Microsoft SSO credentials. Navigate to the Time Off section from your dashboard.

Select Leave Type & Dates
Choose the appropriate leave type (PTO, VTO, Sick, etc.), enter your requested dates, and add any relevant notes for your manager. Check your available balance before submitting.

Manager Review & Approval
Your manager receives an automatic notification and reviews the request. Most PTO requests are approved or denied within 48 hours. You will receive an email confirmation when a decision is made.

Plan Your Coverage
Before your time off begins, communicate any open tasks to your manager or coverage contact. Update your Outlook out-of-office message and Teams status to reflect your absence dates and return date.

FMLA & Extended Leave — Contact HR First
For leave lasting more than 3 consecutive days, FMLA, Short- or Long-Term Disability, or any medical leave, contact HR before submitting in WFM. Extended leave requires additional documentation and HR coordination.

Tips for Managing Your Time Off

Request early. Popular dates — holidays, summers, school breaks — fill up fast. Submit PTO requests as early as possible to secure your preferred dates.
Check your balance first. Log into WFM to verify your available PTO balance before submitting requests — especially before booking travel.
Use your VTO. Volunteer Time Off is separate from PTO and does not affect your balance. Use it for approved community service — it is paid time Joyner provides in addition to your PTO.
Set your out-of-office early. Configure your Outlook auto-reply and update your Teams status before your last day in the office. Include your return date and a backup contact.
Use sick leave when you are sick. Do not come in when you are ill. Sick leave exists for this reason. Your colleagues and customers are better served by your recovery than your presence.
Know your rollover cap. PTO balances roll over at year-end up to the plan maximum. Hours above the cap are forfeited. Review your balance in Q4 and use excess hours before December 31.

STD and LTD benefits are administered by The Hartford. FMLA and other extended leaves are coordinated through HR & Employee Care. All leave requests must be submitted through WFM or HR — never assume your absence is covered without a formal approval.

Disability & Extended Leave — Key Resources

Short-Term Disability, Long-Term Disability, and FMLA are administered through specific partners and require coordination with HR before or shortly after your leave begins. Here is who to contact and where to go for each program.

Short-Term Disability
Administered by The Hartford. Replaces a portion of your income when a qualifying medical condition prevents you from working. Available after your elimination period. Contact HR to initiate your claim — do not file directly before notifying Joyner.

Long-Term Disability
Also administered by The Hartford. Kicks in after STD is exhausted (typically after 26 weeks). Provides ongoing income protection for long-duration disabilities. HR coordinates the transition from STD to LTD on your behalf.

Log into the WFM portal, select Time Off Request, choose PTO as the category, select your dates, and submit. Requests require manager approval.

Notice Requirements

Submit PTO requests at least 5 business days in advance for single days and 2 weeks in advance for extended periods (3+ days).

Rollover Cap

Unused PTO rolls over at year-end up to a maximum of 5 days (40 hours). Balances above the cap are forfeited on January 1.

Sick & Personal Leave

Sick & Personal Leave

Paid sick leave is available for illness, medical appointments, and personal emergencies. It is separate from PTO and does not roll over.

Sick Day Allotment

All full-time associates receive 7 paid sick days per year. Part-time associates receive a prorated amount based on scheduled hours. Sick days do not roll over and reset on January 1.

Same-Day Notification

Notify your manager at least 2 hours before your shift starts if you are unable to report to work. Log the absence in WFM as Sick Leave as soon as possible.

Extended Illness

If your illness extends beyond 3 consecutive days, HR may require documentation from a licensed healthcare provider. Extended sick leave may transition to Short-Term Disability (STD).

Personal Days

Associates receive 2 personal days per year in addition to sick days. Personal days require 24-hour advance notice and manager approval.

Volunteer Time Off

Volunteer Time Off (VTO)

Joyner provides eligible associates with paid time to give back to their communities through approved volunteer activities.

Eligibility

All full-time associates who have completed 90 days of employment are eligible for VTO. Part-time associates are not currently eligible.

VTO Allotment

Eligible associates receive 16 hours (2 days) of VTO per calendar year. VTO does not roll over and must be used within the calendar year.

Approved Activities

VTO must be used for service with a registered 501(c)(3) nonprofit, a community service program, or a Joyner MyCommunity initiative. Political activities are not eligible.

How to Request

Submit a VTO request in WFM at least 5 business days in advance. Include the organization name and date of service. Upon completion, submit proof of participation to HR.

MyCommunity events: Check the Corporate Citizenship page on Joyner One for upcoming company-sponsored volunteer opportunities where VTO is pre-approved.
Short-Term Disability

Short-Term Disability (STD)

STD benefits replace a portion of your income when a medical condition prevents you from working for an extended period.

Waiting Period

STD benefits begin after a 7-calendar-day elimination period from the first day you are unable to work. Sick leave or PTO may be used during this waiting period.

Benefit Amount

Approved STD pays 60% of your base weekly salary for up to 12 weeks, depending on the nature and duration of the qualifying condition.

How to File

Notify HR & Employee Care on or before Day 1 of your absence. Contact HR & Employee Care HR will provide you with the STD claim form and connect you with the benefits carrier. Medical certification from your provider is required.

Job Protection

Your position is protected for the duration of an approved STD leave that runs concurrently with FMLA eligibility (up to 12 weeks). Non-FMLA STD leaves are evaluated on a case-by-case basis.

Long-Term Disability

Long-Term Disability (LTD)

LTD provides continued income protection for illnesses or injuries that extend beyond the STD benefit period.

When LTD Begins

LTD kicks in after your STD benefits are exhausted (typically after 12 weeks of STD). There is no separate waiting period — LTD continues seamlessly from STD.

Benefit Amount

LTD pays 60% of your pre-disability monthly base salary up to the plan maximum. Benefits continue as long as you meet the definition of disability under the plan, up to Social Security retirement age in some cases.

How to Apply

HR will initiate your LTD claim automatically when your STD period ends. You will need to continue providing medical certification from your treating physician.

Benefits During LTD

Health benefits may continue during approved LTD leave. Contact HR to confirm your specific benefit continuation status and any premium responsibilities.

FMLA & Specialized Leave

FMLA & Specialized Leave

The Family and Medical Leave Act (FMLA) provides eligible associates with up to 12 weeks of unpaid, job-protected leave per year for qualifying reasons.

Eligibility

You are eligible for FMLA if you have worked for Joyner for at least 12 months and have logged at least 1,250 hours in the past 12-month period.

Qualifying Reasons

FMLA covers: serious health condition of the associate; care for a spouse, child, or parent with a serious health condition; birth, adoption, or foster placement of a child; qualifying military exigency.

How to Request

Notify HR & Employee Care as soon as possible — ideally 30 days in advance for foreseeable leave. HR will provide you with the FMLA designation notice and the medical certification form within 5 business days.

Pay During FMLA

FMLA leave itself is unpaid. However, Joyner requires that you use any accrued PTO and sick leave concurrently with FMLA. STD benefits may also run concurrently if your leave is due to a qualifying medical condition.

Return to Work

Upon return from FMLA, you are entitled to be restored to your same or equivalent position. Provide HR with a fitness-for-duty certification from your healthcare provider before your return date.

Out-of-Office Checklist

Before going on leave, complete this checklist to ensure a smooth handoff and professional continuity for your team and clients.

Set Your Outlook Auto-Reply

In Outlook, go to File → Automatic Replies. Set your out-of-office message with your return date and a colleague's contact information for urgent matters.

Update Your Teams Status

Set your Microsoft Teams status to Away or Out of Office. Add a status message with your expected return date.

Delegate or Reassign Work

Work with your manager to reassign active tasks and open tickets to a coverage person before your leave begins. Document any in-progress items in a handoff note.

Notify Key Contacts

If you manage client relationships or vendor contacts, proactively notify them of your absence and introduce your coverage contact via email before your leave date.

Submit Time Off in WFM

Confirm your approved time-off request is reflected in the WFM system before your last working day. Verify the dates and leave type are correct.
