This policy covers procedures for granting On-the-Spot Awards.
The primary objective of the On-the-Spot Award Program is to recognize an employee’s contribution or specific accomplishment spontaneously. This program can also be utilized to recognize employees as they deliver Outstanding Customer Experiences and provides management with a means of recognizing employees for those day-to-day efforts which contribute to “getting the job done.”
This award program provides for immediate recognition with minimal documentation and serves as a means of giving employees recognition for non-recurring contributions. On-the-Spot Awards should be used to recognize an employee or a work unit/employee group who has made a valuable contribution to their team, department, or division.
Individuals in a supervisory role can submit a request form for an employee to receive an On-the-Spot Award which will be processed without further approval.
This program is exclusive of annual merit reviews, and other types of salary increases which cover performance over a set period of time.
Outstanding effort within the scope of normal job responsibilities.
Resolution of a significant problem or conflict
Extra commitment or effort in completing an assignment or series of assignments
Outstanding effort in completing project milestones
Contributions within or outside job responsibilities while maintaining current workload
Using initiative and creativity to solve an unusual problem
Advancing Joyner’s ethical culture by demonstrating exemplary compliance or ethical behavior
Characteristics of performance that may qualify for an award related to a Outstanding Customer Experience could include, but are not limited to:
Exceptional delivery of Outstanding service to others through demonstration of the Outstanding associate behaviors
Providing exceptional personalized service; Outstanding demonstration of a caring attitude; and making interactions with our customers more simple and easy
Going above and beyond in taking care of our customers’ needs
Characteristics NOT qualifying for an On-the-Spot Award include:
Superior or excellent performance in on-going job duties or routine responsibilities Performance in normal job activities should be recognized as part of the annual merit review process.
Hours worked in excess of the standard workweek.
Catastrophe Duty participation
Attendance
Company-sponsored or volunteer activities
As a substitute for merit increases for employees at range maximum
As a replacement for special salary or equity adjustments
As a payment method for non-discretionary incentives and/or bonuses, including programs that provide monetary awards for achieving goals based on specific or pre-defined measures or milestones.
On-the-Spot Awards will be distributed using the same method of processing as the employee’s bi-weekly pay (i.e. direct deposit or paper check), but not on the same timing as the bi-weekly pay. Payments are disbursed on a more frequent basis than bi-weekly pay. Please note that the award recipient may see this bonus via View Paycheck when the payment processing is complete. Paper checks may take up to 7 days to arrive by mail once this payment is processed.
Award Amount Allocation On-the-Spot Awards can range from a minimum of $10 to a maximum of $100 per individual. Awards may be made in amounts anywhere between the minimum and maximum limits.
There is no limit on the number of On-the-Spot Awards an employee can receive within a calendar year.
Based on the type of employee contribution for the On-the-Spot Award recognition, managers have the option of utilizing one of the following certificates of recognition.
An On-the-Spot Certificate of Recognition is available to give to the employee as recognition of their contribution.
A Outstanding Certificate of Recognition is available to give to the employee as recognition in creating a Outstanding Customer Experience.
Corporate departments and field locations are responsible for developing their own annual spending plans for the On-the-Spot Award program similar to how the Special Achievement Awards (SAA) are budgeted.

Individuals in a supervisory role may utilize the On-the-Spot Award program to recognize an employee. The On-the-Spot Award should be made immediately or soon after the completion of the contribution or accomplishment. There is no formal recognition or approval process. Processing of the award occurs as follows:
The supervisor/manager completes the On-the-Spot Award Form located in Joyner Forms providing the following:
Recipients Name (Note: Up to 30 names can be listed for processing On-the-Spot Awards)
Award amount
A brief description of the accomplishment or contribution, or OutstandingCustomer Experience and/or associate behaviors demonstrated
(Note: A carbon copy will automatically be sent to the initiator, and if different, to the recipients’ supervisor.)
Department Charged On-the-Spot Awards will be charged to the department code to which the employee is assigned. If a supervisor or manager is requesting an award for an employee that does not report to them, they should contact the employee’s supervisor first to discuss the award. Because the award is coming from the employee’s department budget the manager requesting the award should first make sure the employee’s supervisor is comfortable with the employee receiving the On-the-Spot Award before sending in the form to process the award.
