Overview

The purpose of this policy is to outline the role of the Human Resources (HR) and the manager; and provide guidance regarding communications and memorials when there is a death in an employee's family.

Please refer to the Bereavement Leave Policy for time off information.

Employee Actions

Contact Joyner HREC / Benefits Center to report the death of a spouse or dependent.

Managerial Actions

Family Member Resides in the Employee's Household When a member of an employee’s family that resides in the same household dies, the supervisor should contact their HR representative with the employee's name, deceased's name, relationship, date of death and funeral arrangements, if known.

The supervisor, or someone he/she designates, orders a flower arrangement for the family on behalf of Joyner. A defined budget of up to $100 may be spent on a flower arrangement. This is charged to the employee's department.

If a memorial donation is preferred, the supervisor, or someone he/she designates, completes the Memorial Donation form in Joyner Forms on the intranet. A defined budget of up to $100 donation may be sent. Company-paid memorial donations must be made to a non-profit 501(c)3 organization. This memorial donation is paid out of the Enterprise Philanthropy budget.

With the permission of the employee, the name and address of the funeral home, time and date of services and the employee's home address should be announced via email to co-workers. The department can announce that voluntary contributions for flowers or a memorial can be made to a central contact person.

Family member does not reside in employee's household

No flower arrangement or memorial donation is made from Joyner.

No actions by Human Resources.

Note: Normally, immediate family includes an employee's spouse, children, parents, brothers, sisters, spouses of brothers and sisters, parents of the employee's spouse, brothers and sisters of the employee's spouse and their spouses. Management has discretion to consider family members not specifically listed.

The HR representative will contact the appropriate department for necessary actions, including:

Contacting the appropriate Executive Office members

The guideline is the Company will pay for one floral arrangement, charged to employee's department, or make a memorial donation which is paid from Enterprise Philanthropy budget.

HR will obtain details:

contact information (mailing address, etc.)

Note: The following corporate departments or units will be notified once the Joyner HREC / Benefits Center has notified the Human Resources Services Center.
