Employees who are invited to attend company sponsored workshops or who qualify to attend company sponsored events may do so using paid time recorded as Company Sponsored Event or Guest at a Company Sponsored Event. Eligibility, definitions and how time will be recorded is described below.
Eligibility/Definitions – Company Sponsored Event
Paid time away from work shall be granted to employees who qualify to attend the following conferences, conventions, workshops and schools:
National Service Provider Conventions,
Life Incentive Travel programs, (i.e. Life Honor/Ambassadors for Life),
Company-sponsored conferences (i.e. Pre-Retirement Planning Workshop),
Other Company-sponsored promotions are at the discretion of Executive with assistance from Human Resources.
The time away from work is paid and recorded as Company Sponsored Event. Employees are not required to take PTO. The time recorded as Company Sponsored Event should only include hours the employee is regularly scheduled (e.g., Monday – Friday, 8 hours per day). The intent of this policy is to pay employees for their regular work hours while attending these types of events. Employees who choose to extend their trip for personal reasons must use PTO for the additional time away from work.
Employees who qualify may be allowed up to are allowed to bring one guest*. Details will be provided when Company Sponsored Event is announced.
Service Providers / Sales Agents who qualify for Conferment’s or Travel, or sales agents who choose to attend the Agency Convention, are allowed to bring one guest*.
Special invitees (e.g., someone an VP or Ececutive Leadership member has asked to attend) are not required to take PTO and are allowed to bring one guest*.
*Guest guidelines:
Each qualifying employee, salesagent or special invitee is allowed to bring one guest.
The designated guest is required to be the accompanying spouse/domestic partner.
If a spouse or domestic partner is not accompanying the employee, sales agent, or special invitee on the trip, the employee, agent, or special invitee is allowed to select anyone they choose as their designated guest.
If the qualifying employee’s, sales agent’s, special invitee’s designated guest is a Joyner employee, they are not required to use PTO for attendance at and travel to/from the Joyner sponsored event including National Sales Agent Convention, Ambassador Travel or a Conferment. The time is paid and should be recorded Guest at Company Sponsored Event.
There is a 10-day annual limit on Guest at Company Sponsored Event time-off benefits. If the guest exceeds 10 days in a calendar year, he/she will be required to use PTO. Any accompanying Joyner employees who are not the designated guest will be required to use PTO as well.
Example: A Joyner Sales agent qualifies for Ambassador Travel and is bringing along their spouse and son. Their spouse is not an employee of Joyner; however their son is an employee of Joyner. The agent’s spouse is required to be the designated guest. The agent’s son, who is not the agent’s designated guest, is required to use PTO in order to attend the event.
Guest at Company Sponsored Event
In addition to the Guest guidelines above, the following situations may arise and should be handled as outlined.
Company-Sponsored Workshops
Employee-spouses who are invited to attend company-sponsored workshops such as the Pre-Retirement Planning Workshop or one of the Planning Your Financial Future Workshops should not be required to use PTO in order to attend with their spouse. The time away from work is paid and recorded as Guest at Company Sponsored Event. The time recorded as Guest at a Company Sponsored Event should only include hours the employee is regularly scheduled (e.g., Monday – Friday, 8 hours per day). Note: The 10-day annual limit outlined above in Guest guidelines.
Employees who are working
Employees who are working at or required to attend the conference, convention, conferment, or school as part of their job responsibilities at the direction of Joyner should be handled as time worked and will not be recorded Company Sponsored Event. Non-exempt employees must report all time worked on the timesheet.
Guests who choose to accompany an employee who is working, and do not qualify within Guest guidelines above, must use their own time-off benefits to attend, such as PTO.
Example: An employee’s spouse must use their own time-off benefits to accompany an employee attending office production, field services, management or industry conferences and schools. This list is not all-inclusive. Contact the Human Resources Employee Care with any specific time-off questions.
Pay
Compensation for Company Sponsored Event and Guest at Company Sponsored Event is paid at an employee’s regular rate of pay, including shift premiums if applicable.
Company Sponsored Event and Guest at Company Sponsored Event does not count as time worked and is not included for the purposes of calculating overtime.
Company Sponsored Event and Guest at Company Sponsored Event time is requested through your supervisor.
Employees will request and record time for Company Sponsored Event or Guest at Company Sponsored Event in the Time Management Tool.
The supervisor explains the Company Sponsored Event and Guest at Company Sponsored Event policy and discusses time off request procedures with new and on-board employees.
The supervisor must evaluate each request, determine if it qualifies, return a decision to the employee and approve or deny the time off request in the Time Management Tool.
