Overview

Procedures have been developed to control the authorization of assigned company vehicles.  The procedures involve Human Resources, Administrative Services, and Financial Shared Services. Assigned company vehicles must be approved by the CEO Staff.

General Information

Assigned company vehicles are provided to employees who are approved by CEO Staff. Authorization to operate an assigned company vehicle is considered a fringe benefit of employment, since both business and personal use of the vehicle is allowed.

The job functions authorized for an assigned company vehicle are:

Senior Vice President

Vice President Operations

Vice President of Financial Services

Vice President of Sales

Vice President of Human Resources & Employee Care

Vice President of Legal Services

Vice President of Enterprise Technology

Vice President of Administrative Services

Note: Employees must receive approval from the office of the CEP for an assigned company vehicle. Assigned company vehicles should not be confused with pool vehicles that are exclusively driven by individual employees; expenses for exclusive use pool vehicles are charged to Administrative Services and personal use is limited.

Managerial Actions

Listed below are the steps necessary to receive approval for an assigned company vehicle.

The requesting area works with their Corporate Function to develop a business case.

The Corporate Function completes the Assigned Company Vehicle Request form on Joyner Forms and sends it to the Senior Vice President. Each business case must include a cost analysis, which Financial Shared Services (FSS) will complete after receiving the business case.

The business case and cost analysis is reviewed and approved by:  a) Senior Vice President, b) CEO Staff, and c) Financial Services Vice President.

Financial Services will compile a report every two years to review actual costs incurred.

Note: All related expenses for assigned company vehicles are charged to the employee's department.
